Managing Multiple Projects
When several projects need the same action, you can manage them together from the projects overview. Bulk actions let you archive, unarchive, export, or permanently delete several selected projects without opening and handling each one separately.
Bulk actions are available only in table view. Grid view is designed for browsing projects visually and does not show the selection controls. Switch to table view when you want to work with several projects at once.
Selecting projects
In table view, use the checkbox beside a project to select it. You can select several rows individually, or use the checkbox in the table header to select every project on the current page. A table page contains up to 10 projects.
Individual selections remain selected when you move between table pages. You can therefore select projects on one page, move to another with First, Previous, Next, or Last, and add more projects to the same selection.
Once one or more projects are selected, the bulk action buttons become available above the table. Each button shows the number of selected projects, such as Export (3), Archive (3), or Delete (3).
Review the selected rows before continuing, especially when the table has been searched, sorted, or filtered.
Archiving selected projects
Choose Archive to move all selected active projects out of the active projects list. In the archived view, the matching bulk action is Unarchive, which returns selected projects to the active list.
Archived projects are not deleted. Their documents, structure, notes, annotations, and other project data remain intact. You can find them again under Archived and return them to the active list later.
Archiving is useful for completed, paused, or inactive work that you want to keep without leaving it among your current projects.
Exporting selected projects
Choose Export to create exports for up to 10 selected projects.
In the export dialog, choose the file format and the type of download package. Each selected project is exported as its own file, and the resulting files are collected into a single downloadable archive.
The Format menu includes PDF, EPUB, HTML, Markdown, and Spleen archive. When you select PDF or HTML, Include table of contents appears and starts selected. The Download as menu lets you choose Zip (.zip) or Compressed tar (.tar.gz). The dialog explains what will be created before the export begins.
Export is the only bulk action limited to 10 projects. If more than 10 are selected, deselect projects until 10 or fewer remain before exporting. Archiving, unarchiving, and deleting can use the complete selection across multiple pages.
Deleting selected projects
Choose Delete only when you are certain that the selected projects are no longer needed.
Bulk deletion permanently removes every selected project and its associated data. Because this action cannot be undone, Spleen opens a confirmation dialog showing how many projects will be removed.
The dialog also offers archiving as a safer alternative. If you may want to return to the projects later, archive them instead.
The bulk delete dialog is titled Delete 3 projects?, with the number changing to match your selection. For one selected project, it says Delete 1 project?. The warning says, “This permanently deletes 3 projects and all related data, and cannot be undone.” To confirm permanent deletion, type delete into the field labelled Type delete to confirm, then choose Delete.
Good to know
- Bulk actions are available only in table view.
- The table-header checkbox selects every project on the current page, up to 10.
- Individual selections carry across pages.
- Bulk export is limited to 10 projects; the other bulk actions are not.
- The number shown in each action button is the number of currently selected projects.
- Archiving is reversible; deletion is permanent.
- Bulk export creates a separate export file for each project and combines them into one download.
- Actions for one project remain available from its own menu when no bulk selection is needed.
